NetQuiid app

Privacy Policy

Version 1.11 · In effect from 29 October 2026

The short version

  1. We use your information only to run NetQuiid for you, keep it secure and meet our legal duties.
  2. We never sell your data, show you adverts or pass you to lenders.
  3. Your account data is stored in London. Some of the suppliers described below are based in the United States.
  4. You can download your data or delete your account yourself, at any time, in the app.
  5. If you join a household, other members see only the bills you choose to share and your first name. Never your balance, income or spending.

This summary helps you find your way. The full text below is what applies.

1. About this policy

This policy explains how NetQuiid collects, uses, shares and protects personal information when you use the NetQuiid app at app.netquiid.com, create an account or contact us.

Veto Swarm Intelligence Ltd (company number 17002319, ICO registration ZC189766) is the controller of this information. That means we decide why and how it is used. Contact us about your personal data at privacy@netquiid.com.

The NetQuiid community website at netquiid.com has its own privacy policy.

2. Information we collect

Account information: your first name, your email address and your sign-in details. Your password is stored by our authentication provider in hashed form. We never see it.

Money settings: your payday, your safety buffer and your notification choices.

Your plans: anything you add to plan ahead: a current account balance you type in (with the time you entered it), income you expect (its name, amount or range, how often it arrives and how sure you are), one-off costs you expect, and bills you add or correct. What-ifs you try are worked out on the spot. If you choose to keep one, we store only its name and the changes you made, never the results. We may also point out regular payments into your account (the same payer and a similar amount) so you can choose to add them as income. Nothing is added unless you save it.

Households: if you start or join one, the household's name, who is in it and their role, the bills each member chooses to share, a scrambled copy of each invite code, and a record of changes such as joining, leaving, removing someone and sharing or unsharing a bill.

Bills and commitments: bills, subscriptions, free trials, contract end dates, prices and price changes that you add or confirm, and any balances or transactions held in your account.

Cancellations and claims: the details you give us to cancel something or prepare a claim, such as your full name, your address, the email you use with the provider, an account or reference number and a phone number. We also keep the status of each request and any evidence of the outcome. If we send a signed letter for you, we keep the provider's replies to it (the sender's address and name, the subject, the message and the names of any attachments) and whether its sender could be verified.

Files you choose to keep: photos or PDFs you add to a claim, a return or money you are owed, such as a ticket, a receipt, proof of postage or the company's reply. They are stored privately with your account in the UK. Only you can open them, we do not read them, and we never send them to anyone.

Letters of Authority: if you sign one, we keep the letter, your typed name, the declarations you ticked, the time you signed and the IP address and browser details of the device you signed on. This is our record that you authorised that letter.

Ask Quiid: the questions you ask, the answers we give, a usage record for each question and any category or note changes you ask Ask to make to your transactions. See the AI section below.

Your NetQuiid plan: whether you are on NetQuiid Free or NetQuiid Plus, your free trial dates, and for Plus your billing period, renewal date and whether you have cancelled. Our payment provider holds your card details. We never see or store your full card number.

Legal records: which version of our Terms you accepted and when, and that you were shown this policy.

Support: emails you send us and our replies.

Technical information: IP address, browser and device type, and security and error logs that our hosting providers create when you use the app.

We do not collect your bank login details, and we do not read your email.

3. How we use it and our lawful bases

To provide NetQuiid (contract). Creating your account, working out your figures and forecasts, sending the reminders you set up, preparing cancellations and claims you ask for, showing your household the bills you choose to share, and answering your questions.

To keep NetQuiid secure and working (legitimate interests). Preventing fraud and misuse, fixing faults and keeping records that show what you authorised. We only do this in ways you would reasonably expect, and we balance it against your rights.

To meet the law (legal obligation). For example, answering lawful requests and keeping records the law requires.

With your consent, where we ask for it. We will ask separately before any optional use, and you can withdraw consent at any time. Accepting our Terms is never treated as consent to something else.

We send emails only about your account and the service, such as confirming your email, resetting your password, a one-time welcome and alerts you have turned on. We do not send marketing emails.

We do not use your information to make decisions about you that have legal or similarly significant effects without a person being involved.

4. Ask Quiid and AI

When you use Ask Quiid, our systems first look up and calculate the answer from your own information. We then send our AI provider, which provides the AI model behind Ask Quiid, your question, the earlier messages in that chat and the information needed for that answer, such as amounts, dates, bills, subscriptions, the transactions that match what you asked about, or a short summary of your forecast (for example your lowest balance, when it happens and the payments behind it). We never send our AI provider anything from other members of your household.

If you ask Ask Quiid to research a purchase or a trip, it may use our AI provider's web search to find public information. Prices and availability come from those websites, so always confirm them on the seller's own site.

We never send our AI provider your email address or your password. Under its commercial terms, it does not use this information to train its models, and it deletes it from its systems within 30 days.

Your conversation is kept only on your device so you can carry on where you left off, and it is removed when you sign out. We do not store your Ask messages on our servers. We do keep a short usage record for each question (when you asked, which tools were used and the outcome) to apply daily limits and keep Ask safe.

AI replies can be wrong. They are general information, not financial advice.

5. Sharing in a household

A household is optional. Nobody can add you to one: you join only by entering an invite code yourself.

Other members of your household can see your first name, your role, when you joined and how many bills you share. For each bill you choose to share, they see its name, amount, how often it is paid, its next date and that you shared it. They never see your balance, income, transactions, spending, plans, unshared bills, email address or anything else in your account.

You choose which bills to share and can stop sharing any of them at any time. If you leave, or the owner removes you, the bills you shared stop being visible straight away. If the owner closes the household, the household, its members, shared bills, invite codes and change record are removed.

Please only share bills you are happy for the people in your household to see, and only invite people you trust.

6. Who helps us run NetQuiid

We use these suppliers, under contracts that require them to protect your information and use it only to provide their service to us:

  • Cloud database and hosting: stores your account data, runs sign-in and our server functions. Your account data is stored in London (UK).
  • App and website hosting: serves the NetQuiid app and netquiid.com, with domain and network services that keep them secure.
  • AI provider: the AI model behind Ask Quiid, as described above.
  • Email delivery: sends our account emails, such as email confirmation, password reset and the welcome email.
  • Payment provider: takes payments for NetQuiid Plus. It receives your email address and payment details when you subscribe, and tells us whether your payment went through. It is also responsible for its own handling of payment information, as set out in its privacy policy.
  • Mailbox hosting: holds the emails you send to our netquiid.com addresses.
  • Printing and post: prints and posts a signed letter for you when the provider only accepts letters by post. It receives that letter, which includes the details in it, and the provider's postal address.

When you choose to send a cancellation notice yourself, you send it from your own email. If you ask us to send a signed letter for you, we send it to that provider only, by email or, where the provider only accepts letters by post, by post through our printing and postal service.

You can ask us which companies we use for each of these at privacy@netquiid.com.

We may also share information with professional advisers, insurers or a buyer of our business under appropriate confidentiality, and with regulators, courts or the police where the law requires it.

We do not sell personal information, and we do not share it for advertising.

7. Bank connections

Bank connections run through an authorised open banking provider, and only when you choose to connect. A connection is read-only: it lets NetQuiid see your balances and transactions, and never lets anyone move your money.

Before you can connect a bank, we will update this policy to name the provider and explain what information is involved, why, for how long and how to disconnect, and we will ask for your permission. Until you connect, we do not send any information to these providers.

8. Information that leaves the UK

Your account database is in the UK. Some of our suppliers, including our AI provider, payment provider, hosting providers and email services, are based in, or may process information in, the United States and other countries, and our database provider's support staff may access the service from outside the UK. When you connect a bank, the open banking provider may also process information outside the UK; we will say where when we name the provider.

Where information goes outside the UK, we rely on a lawful transfer mechanism, such as the UK-US data bridge for certified companies or the UK International Data Transfer Addendum in our supplier's terms, together with the supplier's security commitments.

9. How long we keep it

  • Your account and everything in it (settings, bills, commitments, cancellations, claims, Letters of Authority and legal acceptance records): while your account is open. When you delete your account, it is removed from our live database straight away.
  • Backups: our database provider keeps daily backups for 7 days, so deleted information disappears from backups within 7 days.
  • Server and security logs: kept by our hosting providers for up to 7 days.
  • Your plans (a balance you typed in, expected income and costs): while your account is open. One-off income and costs stop counting after their date, and you can remove any of them yourself at any time.
  • Kept what-ifs: until you remove them or delete your account.
  • Plan and payment records: while your account is open, then for up to 6 years after a payment where tax and accounting law requires it.
  • Households: while the household exists. Leaving or being removed takes back the bills you shared; closing a household removes it and everything linked to it.
  • Provider replies to signed letters: with that cancellation, while your account is open.
  • Files you choose to keep: until you remove them or delete your account. Deleting your account removes them straight away.
  • Ask conversations: only on your device, until you sign out. Our AI provider deletes what we send it within 30 days. Ask usage records are kept while your account is open.
  • Support emails: for as long as we need to deal with your request and any follow-up.

Because a Letter of Authority is deleted with your account, please keep the copy we show you if you may need it later.

10. How we protect it

Every member's information is separated at database level, so one account cannot read another. Information is encrypted in transit, and our database provider encrypts it at rest. Secret keys are held only on our servers, never in the app.

No system can be completely secure. If something goes wrong, we will investigate, take the steps the law requires and tell you where we need to.

11. Your rights

You have the right to:

  • get a copy of your information;
  • have wrong information corrected;
  • have your information deleted;
  • restrict or object to some uses of your information;
  • receive your information in a portable format;
  • withdraw consent where we rely on it;
  • complain to the Information Commissioner's Office.

You can download your data and delete your account yourself in Profile, Data and privacy. For anything else, email privacy@netquiid.com. We may need to check it is you, and we will reply within one month.

Some rights have limits. For example, we may need to keep information to meet a legal duty.

You can contact the ICO at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

12. Cookies and device storage

The app does not use advertising or analytics cookies. It stores only what it needs to keep you signed in, remember your Ask conversation and remember small choices you make on screen, such as the Safe-to-Spend period. Our Cookies and Storage page lists every item.

13. Children

NetQuiid is for people aged 18 or over. If you think a child has created an account, email privacy@netquiid.com and we will deal with it.

14. Changes to this policy

We will update this policy when our services, suppliers or the law change, and we keep every published version. We will tell you in the app about important changes before they take effect, and explain any new use of your information before it starts.
